Intake Specialist
About the Role:
We are seeking a detail-oriented, client-focused Intake Specialist to join our personal injury law team. This role is responsible for conducting initial client screenings, gathering critical case information, and determining case eligibility based on firm and state-specific guidelines. You will be the first point of contact for potential clients, requiring professionalism, empathy, and strong knowledge of personal injury intake procedures.

Key Responsibilities:
- Handle incoming calls, web inquiries, and referrals from potential personal injury clients across multiple states.
- Conduct thorough intake interviews to collect facts, evidence, and documentation, including police reports, medical records, photos, and witness statements.
- Apply state-specific case acceptance criteria for auto accidents, slip-and-fall, wrongful death, dog bites, pedestrian injuries, and other covered matters.
- Identify red-flag scenarios (e.g., public entity claims, insufficient evidence, comparative fault issues) and escalate to attorney review as per the Intake Manual.
- Follow firm protocols for special case types (e.g., wrongful death beneficiary verification, minors/conservatorship, government vehicle claims).
- Maintain detailed, accurate notes in the case management system, ensuring all facts are captured for attorney review.
- Coordinate with medical referral partners where permitted by state law, and provide guidance on property damage handling when applicable.
- Use discretion to sign, reject, or place cases under review following the firm’s Turbo Intake Matrix and training guidelines.
- Maintain a compassionate and professional tone while managing sensitive or traumatic case discussions.
Requirements:
- 1+ years of experience in personal injury intake, claims, or a legal support role (multi-state intake experience preferred).
- Working knowledge of case eligibility factors including liability assessment, statute of limitations, and comparative fault rules.
- Familiarity with common personal injury case types (auto, premises liability, dog bites, wrongful death, medical malpractice—intake stage).
- Strong attention to detail and ability to follow structured intake protocols.
- Excellent communication skills and the ability to build rapport with potential clients in sensitive situations.
- Proficiency with CRM or legal case management software.
- Ability to work independently in a remote setting while meeting daily/weekly intake quotas.
Preferred Qualifications:
- Bilingual (English/Spanish) strongly preferred.
- Prior experience with state-specific intake screening, particularly in AZ, NM, WA, OR, IL, and other high-volume states.
- Familiarity with medical referral coordination and property damage guidance.
