Legal Assistant
About the Role:
The Legal Assistant provides administrative, clerical, and case support to attorneys and legal teams, ensuring efficient case flow, accurate documentation, and high-quality client service throughout the pre-litigation process. This role is critical to tracking deadlines, supporting case progression, and maintaining clear communication with clients and external parties.
Key Responsibilities
- Provide administrative support to attorneys, including calendar management, scheduling, and deadline tracking
- Ensure all case milestones, deadlines, and documentation are accurately tracked and completed
- Prepare, draft, format, and proofread legal documents including correspondence, demands, medical summaries, and settlement statements
- Maintain organized client files and document management systems
- E-file documents with courts and serve documents on opposing parties as required
- Communicate with clients, medical providers, and insurance adjusters to gather documentation, support negotiations, and advance cases toward resolution
- Schedule depositions, hearings, client meetings, and conference calls
- Open new client files and conduct conflict checks
- Process incoming and outgoing mail, records, and documentation
- Collaborate closely with attorneys, paralegals, and support staff to maintain efficient case flow
- Provide timely client updates and support diverse clients with professionalism and accessibility
- Assist with billing, timekeeping, and administrative reporting as needed
- Provide backup support to other legal assistants and staff

- Deadline and milestone accuracy: ≥ 99% with zero missed court or case deadlines
- Document accuracy and completeness rate: ≥ 98%
- E-filing success rate (no rejections or corrections required): ≥ 99%
- Client communication response time: ≤ 1 business day (95% of cases)
- Case file organization audit score: ≥ 98% compliance
- Attorney satisfaction rating: ≥ 4.5 / 5
Required Qualifications
- High school diploma required; Associate’s or Bachelor’s degree preferred
- 1–2 years of legal assistant or administrative experience in a law firm setting
- Knowledge of legal terminology, document formatting, and court procedures
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational, time management, and communication skills
- Ability to handle confidential information with discretion
- High attention to detail and accuracy
Preferred Qualifications
- Legal assistant or paralegal certificate
- Experience with practice management software (Clio, MyCase, Filevine, etc.)
- Familiarity with court e-filing systems
- Notary public commission
- Bilingual capabilities
