Medical Records Specialist
About the Role:
The Medical Records Specialist manages the end-to-end process of requesting, tracking, and organizing all medical records and billing statements related to a client’s case. This role ensures all documentation is accurate, labeled, and available for attorney or case manager review.
Key Responsibilities
- Send and track requests for medical records, bills, and itemized statements.
- Maintain detailed logs of requests, follow-ups, and receipts.
- Verify completeness of received records and ensure proper labeling.
- Upload and index all medical documentation in the firm’s CMS (Filevine, SmartAdvocate, etc.)
- Communicate professionally with providers for missing or delayed items.
- Coordinate with authorizations and case management teams on pending requests.
- Generate weekly record status reports for assigned caseloads.
Preferred Qualifications
- 1+ year(s) of experience at a personal injury law firm (required)
- Experience requesting, tracking, or organizing medical records/bills
- Familiarity with authorizations, HIPAA releases, and provider communication
- Experience using legal case management software (Filevine, SmartAdvocate, Needles, etc.)
- Ability to work independently in a remote setting while meeting daily/weekly quotas.
- Strong English reading/writing skills
