Scheduling & Coordination Assistant

About the Role:

The Scheduling & Coordination Assistant organizes and confirms all litigation-related events, including depositions, mediations, hearings, and trial dates. They keep attorneys, witnesses, and clients aligned and informed.

Key Responsibilities

  • Schedule depositions, mediations, and hearings under attorney direction.
  • Coordinate availability with clients, witnesses, and opposing counsel.
  • Send and track confirmations, notices, and reminders.
  • Update the litigation calendar and distribute weekly schedule summaries.
  • Reserve conference rooms or virtual meeting links.
  • Log all scheduling communications in CMS.
  • Prepare event packets (agendas, exhibits, contact lists) for participants.

KPIs / Performance Metrics

  • Event confirmation rate = 100% at least 48 hours before event.
  • Calendar accuracy audit ≥ 99%.
  • Scheduling conflict incidents = 0 per quarter.
  • Timely update of CMS within 24 hours of changes (100%).
  • Positive feedback score from attorneys on coordination ≥ 4.8 / 5.
