Scheduling & Coordination Assistant
About the Role:
The Scheduling & Coordination Assistant organizes and confirms all litigation-related events, including depositions, mediations, hearings, and trial dates. They keep attorneys, witnesses, and clients aligned and informed.
Key Responsibilities
- Schedule depositions, mediations, and hearings under attorney direction.
- Coordinate availability with clients, witnesses, and opposing counsel.
- Send and track confirmations, notices, and reminders.
- Update the litigation calendar and distribute weekly schedule summaries.
- Reserve conference rooms or virtual meeting links.
- Log all scheduling communications in CMS.
- Prepare event packets (agendas, exhibits, contact lists) for participants.
KPIs / Performance Metrics
- Event confirmation rate = 100% at least 48 hours before event.
- Calendar accuracy audit ≥ 99%.
- Scheduling conflict incidents = 0 per quarter.
- Timely update of CMS within 24 hours of changes (100%).
- Positive feedback score from attorneys on coordination ≥ 4.8 / 5.
